Under Tasks in the Backstage, the board creates and tracks to-dos — who's doing what, and how many people are still needed. Members see and take up open tasks themselves on their own My tasks page, so the board doesn't have to chase people down one by one.
Every task is one of two types:
General tasks always sort above event tasks — both on this overview and on a member's own My tasks page — since they're not tied to a date and stay relevant indefinitely.
Click New task and fill in:
Under Members allowed to take this up, tick whoever is eligible — use the Everyone / None shortcuts, or click a band's name to instantly select just that band's members. Leave everyone unchecked to open the task to your entire membership.
Already know who's doing it? Tick their names directly under Currently assigned — this fills spots immediately, exactly as if those members had taken the task themselves from their own My tasks page. The counter next to the heading shows how many you've assigned against the total required; you can't assign more people than that number.
Running the same task for every event — bar duty, say — without retyping it each time: tick Also save this as a reusable template and give it a name while creating or editing a task. Next time, click Load template (top of the "Save as template" card) to prefill a new task from it instantly, then adjust the event details and move on. Deleting a template never affects tasks already created from it.
On the tasks overview, each event group of tasks has a Notify eligible members button. It emails every member who's eligible for at least one still-open task in that event group and hasn't already taken one, pointing them to their My tasks page — a quick nudge if an event is coming up and spots are still unfilled.
A task stops appearing as "open" the moment every spot is filled — but it isn't deleted, and members who already took a spot keep seeing it on their own My tasks page. Nothing disappears automatically based on its date; once an event has passed and its tasks are no longer relevant, delete them from the tasks overview to clear them out.
Every eligible member sees open tasks — and the ones they've already taken — on their own My tasks page, plus a summary widget on their dashboard. From either place they can take an open spot themselves, or back out of one they'd taken (any spot they free up immediately becomes available to other eligible members again).
