Adding or changing sheet music

Under Sheet music in the Backstage, you add new music pieces, upload their sheet music per instrument, and decide exactly who gets to see which part.

Requirements

Before you can create a music piece, you need at least one band (see Bands) and one instrument (see Instruments) — every piece belongs to a band, and every part is uploaded per instrument. Without at least one of each, Mozivio shows a message and won't let you start a new piece. Members themselves don't need to exist yet at that point, but without members who have an instrument set on their profile (see Members), nobody will see the sheet music you upload.

Step 1 — Create a music piece

Click New piece and fill in the title, composer, arranger and genre. Two settings matter here:

• Active (visible to musicians) — turned off, no regular member sees the piece at all, even with the right instrument. Useful while you're still uploading its sheet music, or for a piece not yet being rehearsed. Board and music managers always see an inactive piece themselves regardless, so they can keep working on it.
• Concert tags — link the piece to the concert or program it's played at. See further down this page, or the full explanation in Concert tags.

Save the piece — you'll land on its detail page, where you can start uploading sheet music right away.

Step 2 — Uploading sheet music

At the bottom of a piece's detail page, upload a PDF file. You can optionally pick an instrument right away (e.g. "Trumpet 1") — leave it blank if you'd rather link it later, or if it's meant for one specific member rather than a whole instrument.

Got several parts for the same piece (Trumpet 1, Trumpet 2, Clarinet, ...)? Just upload a separate file for each part. Every member with that instrument on their profile automatically sees only their own part.

The action buttons on each sheet

Every uploaded sheet shows a row of buttons:

• Add instrument — link this sheet to an extra instrument, so multiple instruments share the exact same sheet (e.g. "Trumpet 2" and "Flugelhorn" playing the identical part). Remove a linked instrument again via the small cross next to its name.
• Add user — give one specific member access to this sheet, independent of their instrument — a stand-in, say, or someone covering an extra part. Remove that access again via the cross next to their name.
• Download — open the PDF file itself, to check exactly what was uploaded.
• Overwrite — replace the file with a new version (e.g. a correction) without losing that sheet's instruments and assigned members.
• Delete — removes the sheet entirely, including the file. This cannot be undone.

Copyright

Every upload requires you to explicitly confirm your association holds the rights needed to store and distribute this sheet music digitally — for example through the publisher's permission or an applicable collective license. This isn't a formality: as stated in our Terms of Use, your association itself remains responsible for those rights, not Mozivio.

Concert tags: what are they for?

A concert tag marks which concert or program a piece is played at (e.g. "Spring Concert"), so members can filter down to exactly the pieces for that performance, and you can optionally publish a full concert program on everyone's dashboard. When does a member see a sheet?

A member sees a specific sheet in My sheet music only when all of the following are true:

• The music piece is active.
• The member plays in the band the piece is linked to.
• And on top of that: either the member has the instrument on their profile that this sheet (or one of its linked instruments) is for, or they're individually assigned as an extra user on that sheet.

An individual assignment is the one exception to the "active" rule above: if a piece is still inactive but you've already specifically given someone access, they'll see the sheet regardless.

Instruments without a sheet

At the bottom of every piece's detail page, Mozivio shows a list of Instruments without a sheet — instruments that haven't been assigned any part yet for this piece. It's a memory aid: it's easy to forget to upload a part when a piece has many instruments, and this list surfaces that immediately instead of only noticing once a member asks about it.
